OFFICE ASSISTANT

THE POSITION

Under the direct supervision of the Office Manager, the Office Assistant provides reception and clerical assistance to TNDC’s Central Office staff. This position is full-time (40 hours per week), non-exempt.

KEY RESPONSIBILITIES

  1. Operate main switchboard. Answer phones, direct calls and take accurate messages.
  2. Maintain directory for all staff.
  3. Greet guests and applicants.
  4. Track resident/applicant complaints to resolution.
  5. Provide applicants with accurate, up-to-date information on TNDC vacancies, buildings, application process, referral to other agencies, etc.
  6. Update the Occupancy Hotline and distribute marketing materials for TNDC housing.
  7. Maintain and receive applications for employment.
  8. Act as key operator for office equipment, train staff in the use of office equipment, work with service representatives to solve technical problems.
  9. Provide administrative support to the Departments of Property Management, Asset Management, Accounting and Human Resources and other departmental staff in conjunction with the PM Administrative Assistant.
  10. Maintain stock for office, kitchen, conference room supplies, etc.
  11. Process invoices for central office Property Management vendors.
  12. Responsible for processing supply orders from the properties.
  13. Establish and sustain working relationship with personnel in various departments at TNDC, including an understanding of their functions.

REQUIRED SKILLS

  • Ability to read, write and communicate in English.
  • Accurate typing (min. 40 wpm). Intermediate level skills in MS Word, MS Excel & MS Access.
  • Ability and willingness to work with a diverse, low-income population.
  • Strong organizational skills, attention to detail, and ability to multi-task.
  • Pleasant demeanor. 
  • Friendly, outgoing, possessing patience and a sense of humor. 

MINIMUM QUALIFICATIONS

  • Associate Degree and one year of general office experience; or
  • High School Diploma and three years of general office experience.

PREFERRED QUALIFICATIONS

  • Bi-lingual in Spanish, Cantonese, Tagalog or Vietnamese.

SALARY
DOE, plus excellent benefits package.
